Position Details

The Fire Installations Project Coordinator plays a key role in ensuring the smooth and efficient delivery of fire alarm and sprinkler system installation projects. Working closely with our Fire Division leadership, this individual manages the administrative and logistical aspects of multiple projects: coordinating schedules, communicating with customers and trades, and ensuring all details are handled accurately and on time.

Compensation: The starting wage is $25.00/hour, dependent on experience.

Job Description

  • Serve as the main point of contact for installation-related requests from customers, contractors, and internal departments.
  • Coordinate and schedule site visits for technicians and subcontractors, ensuring timely follow-up and clear communication throughout each project.
  • Prepare and process estimates and quotes, maintaining proactive communication with customers to confirm approvals and next steps.
  • Oversee the progression of approved work, expediting installations to meet customer deadlines and project timelines.
  • Generate purchase orders for materials, equipment rentals, and third-party services.
  • Assist with obtaining electrical and sprinkler permits and coordinate required inspections upon project completion.
  • Review and verify monthly invoices to ensure accuracy before closeout.
  • Maintain organized project files, logs, and tracking spreadsheets with regular status updates.
  • Draft and distribute project communications to internal teams, customers, and vendors, including scheduling details, updates, and responses to inquiries.
  • Handle day-to-day communication via phone and email promptly and professionally.
  • Coordinate internal meetings and travel arrangements for technicians working outside of local areas, when required.
  • Support process improvements by maintaining manuals, procedures, and documentation.

Requirements

  • Minimum 1 year of experience as an Installations or Service Coordinator, Project Administrator, or in a similar coordinating role - preferably within the fire protection, construction, or technical service industry.
  • Completion of Grade 12 required; post-secondary education in business administration, project coordination, or a related field is an asset.
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook) and comfortable working with project management or scheduling software.
  • Exceptional organizational and time management skills, with the ability to manage multiple projects simultaneously and follow through on details.
  • Strong written and verbal communication skills—professional and confident in both phone and email communication.
  • High attention to detail and accuracy in all work.
  • Customer-focused mindset with a commitment to providing timely, professional service.
